To collaborate with your suppliers on the Orixe.Tech platform, you first need to connect with them. A connection is a digital link between your company and a supplier’s profile, similar to a business contact request. Once accepted, you can start sharing data and working together. There are three simple ways to invite suppliers to join the platform.
Invite via Connections – Make a connection with a new supplier.
Invite via Sustainability Module – Connect with a new supplier and invite them to complete an ESG questionnaire.
Invite via Audit Module – Connect with a new supplier and invite them to fill out an audit.
1. Inviting Suppliers via Connections
Click on the Connections tab.
Go to the Invite tab.
Click the Invite a Supplier button.
The Invite a Supplier form will appear. Fill out the required fields: Name for the invitation code. Expiry date - this sets how long the invitation link will be valid.
Click “Create”.
You will be redirected to the invitation page. Click “Copy Snippet to Clipboard”.
Paste the snippet into a new e-mail and send it to the supplier.
2. Inviting Suppliers to Sustainability Assessment
Click on the Sustainability Module.
The “Invite suppliers to fill out the sustainability form” button will appear on the top of the site. Click on the button.
You must have submitted your own ESG assessment before inviting suppliers.
Two alternatives will show. Either “Choose existing suppliers” or “Add new supplier”.
Add new supplier
Click on the “Add new supplier” button.
The “Invite a Supplier” form will appear. Fill out the fields.
Enter the name for the invitation code.
The “Expiry date” function determines how long the link will be valid for.
Click “Create”.
You will be redirected to the invitation page. Click “Copy Snippet to Clipboard” and click “Continue”.
Paste the snippet into a new e-mail and send it to the suppliers.
The “Copy Code to Clipboard” function copies the invite code. The code can be used in order to connect accounts under the “Connections” function .
3. Inviting Suppliers to Audit
Click on the Audit Module
The top menu of the Audit module shows the following functions: Auditor View, Submitter View, and Templates.
Click on the “Auditor View” button
The auditor viewer site will appear. Click the “New Audit Request” function.
Choose a template and click “Continue”. If there are no template alternatives, follow the instructions from the Audit Tutorial.
Either “Choose existing supplier” or “Add new supplier”.
Add New Supplier
Click on the “Add new supplier” button.
The “Invite a Supplier” form will appear. Fill out the fields.
Enter the name for the invitation code. The “Expiry date” function determines how long the link will be valid for.
Click “Create”.
You will be redirected to the invitation page. Click “Copy Snippet to Clipboard” and click “Next”.
Paste the snippet into a new e-mail and send it to the supplier.
Avoiding Duplicate Invitations on the Orixe Platform
To maintain a clear and professional communication process with your suppliers and partners, it’s important to avoid double sendouts through the Orixe platform. Each invitation generates a unique code and there’s no cross-check possible before the account is registered. Once an account is created, we can detect and prevent duplicates, but it’s best to avoid this from happening in the first place through a quick check.
How to Check for Existing or Pending Invitations:
There are three easy ways to check if a company has already been invited before sending a new invitation.
1. Check the Pending Invitations in Audit
Go to the Audit module and click on the Auditor View tab.
Click on the Pending tab.
Here you’ll see all the invitations that have been sent out and are still awaiting a response.
2. Check the Pending Invitations in Connections
Go to Connections.
Click on the Pending tab.
This shows all sent invitations that haven't yet been accepted by the recipient.
If you see a duplicate, you can remove the validity of the link directly from here.
3. Check Registered Companies in the Redeemed Tab
Go to Connections.
Click on the Redeemed tab.
This shows all companies that have already registered on the platform
