HOW TO CREATE AN AUDIT WITH ORIXE AUDIT

1: Getting started

  • The top menu of the Audit module shows the following functions: Auditor View, Submitter View and Templates.
  • To get started with the Audit module, you will first need to create an auditing template.
  • To create a new template, click the “Templates” button in the top menu.
  • The template site will now appear. Click the “New Template” button.
  • Alternatively you can click the “Auditor View” button in the top menu.
  • The auditor page will appear. Click on the “New Audit Request” button.
  • Here you can choose an existing template, or you can create a new one by clicking on the link underneath the template selection field, called “here”, which should also take you to the “New Template” page.

2: Creating a new template

  • Type a template name in the “Template name” field and then click the “Add Question” button.
  • Choose the answering format best suited for your question.
  • Remember to click “Save” regularly during the process, and before exiting the site, in order to save the progress you’ve made so far.

3: The different question formats

  • There are four different question formats and three functions available to use in the auditing template.
  • By checking the “Display only if” box, the question will only be visible if your supplier answered your defined question value on a previous question of your choosing. View 3.3 in this article for an example of this.
  • By checking the “Required Question” box, the supplier will not be able to submit the audit without answering that specific question.

3.1: The "Title", "Attachment" and "Spacer" functions

  • The “Title” function allows you to apply a title to your audit, or sub-titles to specific parts of the audit.  
  • The “Spacer” function creates a space between the fields it is placed between.
  • The “Attachment” function allows you to attach files to your audit, for the supplier to download and read.

3.2: The "Multiple Choice" question format

  • Write your question and any details required.  
  • Add the different possible answers in the field named “Answer Possibilities”. With the “Multiple Choice” question form the suppliers will be able to pick one of the alternatives that you set.
  • Click the + button to the top right of the question box to add a new question to your Audit.

3.3: The "Multiple Answers" question format

  • Write your question and any details required.  
  • Again, type in the possible answers. With the “Multiple Answers” function the supplier will be able to choose multiple answers. This is similar to the “Multiple Choice” function, except that the supplier can choose more than one answer.
  • In the example shown here this second question will only be visible to the suppliers that picked the answer “Yes” in the question shown in 3.2. To use this function, check the “Display only if” box and choose a question as well as a question value.

3.4: The "Single Answer" question format

  • In this function your suppliers will be able to freely type in their answers.
  • Due to the “Display only if” function, the question shown here will only be visible for suppliers who chose the “Other certification(s)” alternative in the example from 3.3.

3.5: The "Upload File" question format

  • The “Upload File” format allows your suppliers to upload files.  
  • Due to the “Display only if” function, the question from this example will only be visible for suppliers who choose the “Yes” alternative in the example from 3.2 in this article.

4: Preview and save

  • It is recommended to regularly save your audit. After saving the audit you can press the Preview Template button.  
  • The preview function allows you to preview your audit as your supplier would see it.

4.1: Previewing the template

  • In this example, only the first question is visible if the supplier clicked the answer “No” or “Partially”.
  • The first question is created with the “multiple choice” question format, hence the supplier can only pick one of the three alternatives.
  • Due to the “Display only if” function, answering “yes” to the first question will make subsequent questions appear.
  • The second question is created with the “multiple answers” question format; hence the supplier will be able to choose more than one answer.
  • The third question allows the supplier to upload files, due to the “Upload file” question format.
  • The “Single Answer” format allows the supplier to freely type their own answers.  
  • Due to the “Display only if” function, the fourth question will only be visible if the answer “Other certifications” is chosen in the second question.

5: Sending the audit

  • When you have completed the creation of an auditing template, press save, and click on the “Auditor View” button in the top menu.  
  • Click “New Audit Request”.  
  • Choose a template. You should here see the template you just created.
  • Two alternatives should now appear, either to choose an existing supplier, or to add a new supplier (see 5.1 below).
  • Both alternative will lead you to the “Summary” view, where you should click “Send request”.
  • Congratulations, you have just sent your first audit with Orixe Audit!

5.1: Adding a new supplier

  • If you choose to add a new supplier in step 5, a window should pop up for you to generate an invite code.
  • Type in the name of the supplier, and then pick an expiry date. The expire date decides how long the invite link will be valid for.
  • Check the box named “Allow Code to be Redeemed Multiple Times” if you want the invite link to be valid for multiple uses, so that multiple suppliers can register using the same link and be sent the same auditing form.
  • Orixe Audit will now generate an invite code, simply click “copy the snippet to clipboard“, then paste it into an email and send it to a supplier.
  • You’ve now added a new supplier to your Orixe connections!
  • Click “Continue” in the lower left of the screen to be taken to the “Summary” page, click “Send request” for your audit to be sent to the supplier.
  • Congratulations, you have just sent your first audit with Orixe Audit to a new supplier!
